Overview
The Greenhouse + Certn integration allows hiring teams to initiate, track, and complete background checks directly within Greenhouse.
Instead of switching between systems or manually triggering checks, recruiters can move a candidate to a configured stage in Greenhouse and Certn automatically initiates the background check. Status updates and report access sync back into Greenhouse, giving your team real-time visibility without disrupting workflow.
With this integration, you can:
- Automatically trigger background checks based on stage
- View live status updates inside Greenhouse
- Access reports via PDF or secure Certn portal
- Assign checks to a default group within Certn for centralized management
- Support compliant, post-offer, candidate-initiated screening workflows
The result is faster hiring, stronger compliance alignment, and fewer manual steps for your team.
Setup
Step 1: Contact Greenhouse Support
To initiate the process of setting up your integration, open a support ticket with Greenhouse:
- Visit support.greenhouse.io/hc/en-us.
- Interact with the chat until you have an option to "Contact Support".

⚠️ Important: Please indicate where your organization is located: North America, EMEA, or Australia by indicating one of these regions as outlined in the template. Do not send any sensitive information (e.g. API keys) in this initial form - this is what the SendSafely link is for.
Step 2: Generate Your API Key in Certn
While waiting for Greenhouse to respond, you can proceed with the following:
- Log in to Certn
- Navigate to Settings -> Integrations
- Select Add next to the Greenhouse integration
- Copy the generated API Key and store it securely (Step 1 in screenshot below).
⚠️ Important: You will not be able to access this API key again after leaving the page. Make sure it is saved somewhere secure before proceeding.
Step 3: Configure Integration Settings in Certn
Before activating the integration, configure your default preferences.
- Choose how you’d like to receive the report in Greenhouse by selecting your Report URL Type (Step 2 in screenshot above):
- A PDF report that does not require a user to login, or
- A secure Certn portal link that requires user authentication to view the report
- Select a default Certn Group to use when ordering via Greenhouse (Step 3 in screenshot above). Greenhouse will assign a background check to the chosen group, using the billing profile and preferences set up in that group. This will be the default group where you can view all background checks from Greenhouse in Certn.
- Select Create Integration to save the integration settings in Certn. ⚠️ Important - this step is required to activate the Certn API key which is necessary to establish the connection with Greenhouse.
Once configured, you’re ready to finish the connection setup with Greenhouse.
Step 4: Secure API Key Submission
The Greenhouse Support Team should respond to your request from Step 1 with a SendSafely link where you can enter your API key generated in Step 2.
- Note: The Greenhouse Support Team may request a Support Verification Code to verify your identity before adding the API key to your organization's account.
Once this is done, the Greenhouse Support Team will enable your integration, and you will receive a confirmation email from them.
Integration Complete
Your Certn + Greenhouse integration is now active.
Recruiters can initiate background checks from within Greenhouse, and status updates and reports will sync back automatically.
If you need to adjust report types or default groups in the future, you can do so directly within Certn.
