1. When you log onto the system you will be presented with a list of all checks that have been completed since the date of your last login. Clicking on the Certn logo in the top left of the screen at any me will take you back to your main hub.
2. In addition to this, there are also 6 other quick link options: “Awaiting Data Entry”, “Awaiting Consent”, “In-Progress”, “Waiting on Candidate”, “Waiting on Client”, and “All Completed”. Clicking on any of these will show you all your cases within that particular status.
3. Selecting a status will present a list of candidates within that status. You can order them, either up or down, by clicking on the title in the header bar, e.g., Id, Candidate, Level, Status etc.
4. To search for an individual case by name or case ID number use the search box underneath the toolbar.
5. To make your search more specific (i.e.by searching for cost centre code or screening level), click the “show advanced search” button on the right-hand side of the screen.
6. This will present you with a list of parameters which you can use to define the search, as shown below. For a more detailed explanation please refer to section 11.
7. Once presented with a list of candidates, clicking on an individual’s name will show an overview of the candidate’s case. You can navigate through a brief summary of the report using the tabs on the left-hand side of the case.
Case Details – This shows the basic information relating to the case, such as Candidate Name, Candidate Email Address, Requestor, Level, Date Requested and Date Required.
Findings – This is an overview of the components of the case, it will show information such as any alerts and entries in the enquiry log. For full explanation, please refer to section 8 below.
Notes – This function allows you to, at any stage of the screening process, add a note to the case. For more information, please refer to section 9 below.
Attachments – This is where you can both upload new attachments and view those added by Certn, the candidate or even yourself. For more information, please refer to section 10 below.
9. To view the report in its entirety, you can click on the ‘pdf report’ option which will generate the report as a pdf which can then be downloaded.
10. To the right of the screen are 4 coloured icons: an alert triangle, a paperclip, a red note icon, and pdf icon. These icons work as shortcuts to take you directly to the relevant section of the candidate’s case.
11. The alert triangle will either be coloured or greyed out depending upon the alerts on the case.
A red triangle will indicate a major alert.
A yellow triangle is a minor alert.
A green triangle indicates nothing adverse has been found.
A blue triangle indicates an element was Unable to Verify
If the triangle is greyed out, this means that none of the elements have been completed.
12. The paperclip icon will take you to a section where you can add and view attachments.
13. Selecting the notes icon will take you directly to the notes section of the screening case. See section 9 for more information.
14. The pdf icon will allow you to view and download updated case reports.
Findings
1. This shows an overview of the elements of the case. In this area you can check the status of each element of the case and whether there are any alerts and view the enquiry log.
2. Alerts: these are indicated by the red, yellow, and green triangles. A green triangle indicates the check is all clear, a yellow triangle indicates a minor alert, and a red triangle indicates a major alert. If the alert is either yellow or red details of the reason for the alert will be listed under the “Alert details” heading.
3. If there is a note in the enquiry log the icon to the right of the alerts will be coloured in green. Clicking on this icon will show you notes left directly by the analyst with regards to this check.
