How employment history is selected, verified, and reported
Learn how to configure Employment Verification, what information Certn verifies, and how to understand the results and potential fees.
Overview
Employment Verification confirms employment information provided by an applicant, including the employer, position, and employment dates. Certn creates a separate verification for each employer included in the selected scope.
Each employer is verified through an eligible digital data source or through manual verification. The available method depends on the employer, country, template settings, applicant permissions, and available records.
How Employment Verification works
- The client orders standalone Employment Verification or includes employment within Experience Verification.
- The applicant provides their employment history and any required supporting information or documents.
- Certn creates a separate check for each employer included in the configured scope.
- Each employer is routed to an eligible digital verification method or manual verification.
- The report displays the verified company, position, start date, end date, and outcome for each employer.
Choose the employment scope
Standalone Employment Verification can be configured by the number of employers or by years of employment history. These options cannot be combined in the same template.

Standalone Employment Verification and Experience Verification cannot be ordered together in the same case.
Information the applicant provides
The applicant may be asked to provide:
- Employer name, position, and employment type.
- Start date and end date, or confirmation that the employment is current.
- Employer address and available contact information.
- Staffing agency details when applicable.
- Permission to contact a current employer.
- Supporting employment documents when required.
What Certn verifies

Small differences in dates or job-title wording do not always result in a discrepancy. Results are assessed based on the information available from the verification source.
Verification methods

Digital verification does not replace manual verification for every employer. Employers that cannot be matched digitally continue through the manual process.
Contacting current employers
A current employer is contacted only when the applicant provides permission. If the applicant does not permit contact, the report identifies this restriction and supporting documents may be required instead.
Not providing permission may limit the information Certn is able to verify.
Manual verification
When manual verification is required, Certn contacts the employer or an authorized data source and generally makes at least three contact attempts. The source may confirm the employer, position, and employment dates.
Verification may remain incomplete when the employer:
- Does not respond.
- No longer holds the records.
- Has permanently closed.
- Requires a third-party verification service.
- Cannot locate the applicant’s records.
- Is unwilling to provide information.
Understanding results

| Discrepancy | The verified information differs materially from the information provided by the applicant. |
| Unable to verify | Certn could not obtain enough information to verify the employment. This does not necessarily mean the applicant provided incorrect information. |
Fees
Fees depend on the selected configuration. Employer-count templates are generally billed per employer. Years-based templates generally use a lookback-based fee, while Experience Verification may include separate per-employer charges.
Additional pass-through fees may apply when an employer requires a third-party data source. These fees vary by provider and region and may apply separately for each employer. This page outlines the pass-through access fees that may apply to various checks.
Frequently asked questions
How does standalone Employment Verification differ from Experience Verification?
Standalone Employment Verification can be configured by employer count or years of history and provides a combined employment result.
Experience Verification uses a lookback period and combines employment with education and gap verification, with results displayed for each individual check.
When is digital employment verification offered?
It may be offered for eligible recent UK employment when enabled in the template. The applicant must complete the digital verification flow, and the resulting activity must match the employer they listed.
Does digital verification replace manual verification?
No. Digital verification applies only when an eligible session matches a specific employer. All other employers continue through manual verification.
Are current employers contacted?
Only when the applicant provides permission. If permission is not provided, Certn may request documents instead, and the report will note that the employer could not be contacted.
Can clients choose digital or manual verification for each employer?
Clients can enable digital verification in the template. Certn determines whether an employer is eligible and matched. If digital verification does not apply, the check proceeds through manual verification.
Why was an employment unable to be verified?
Common reasons include:
- No response from the employer.
- Unavailable or outdated records.
- Employer closure.
- Inability to locate reliable contact details.
- A source declining to provide information.
- Missing information from the applicant.
What pass-through fees may apply?
Some employers require verification through a third-party data source. Any related access fee may be passed through to the client and varies by provider and region. See Certn’s pass-through access fees page for more information.
Can gaps be reviewed with Employment Verification?
Gap detection may be available with a years-based standalone template. Experience Verification includes configurable gap detection as part of its combined employment, education, and gap workflow.
