Application and check statuses keep you informed of the status of background checks you order and help you to monitor your candidates’ progress through applications. In this article, you’ll learn where application and check statuses appear and what each status means.

What are application and check statuses?
After you place an order with Certn for one or more background checks, statuses related to your order become available to you. You use the statuses to keep track of the progress of your orders, including your candidate’s progress through their application.
There are two types of statuses that appear in your dashboard: application statuses and check statuses. These statuses also appear on reports.
Application statuses provide insight into the progress of the order, or application, as a whole. In your Certn dashboard, application statuses appear in the Application Status column as a status badge:

What is a status badge?
Status badges appear in your Certn dashboard in the Application Status column. Badges have two main components that help you monitor the progress of an application. First, they state the current overall application status. Second, they show a summary of the progress of checks in the application.
The checks progress summary on a badge indicates the number of background checks that have been submitted or are complete.
- The number of submitted checks shows if no checks are completed yet. A check is considered submitted when the candidate submits the application containing the check.
Note: Typically, all checks in an order become ‘submitted’ at the same time, when the candidate completes the application. However, if you add checks to an order, the number of checks submitted can be a partial number (for example, ‘3 of 5 submitted’).
- The number of complete checks shows after at least one check has been completed.
Status badges are clickable. You can select a status badge to open the status drawer and see status information about individual checks in an application.
What is the status drawer?
The status drawer is an information pane that appears when you select a status badge. Using the status drawer, you can quickly and easily view the status of checks in your order without leaving your dashboard or opening reports to see partially returned results.
In the status drawer, each background check in the application is represented as a separate card with its own check status.
Some background checks are represented by multiple cards. For example, an International Criminal Record Check that you order to run in several different countries will show a separate card for the check to complete in each country. Similarly, a reference check for which the candidate provides three references will be represented as three cards (one for each reference).
What do the statuses mean?
In this section, you’ll find two tables that list statuses that can appear and what they mean.
Application statuses
Application statuses provide insight into the progress of the order, or application, as a whole.
Application status | Description |
Waiting on candidate | An application has been sent to the candidate, and they have not completed and submitted it yet. An application’s status can also revert to this status later if you upgrade the application to add more checks. |
In progress | The application is being processed, and one or more included checks are pending results. |
Complete | All checks in the application are finished processing. |
Action required | The candidate has submitted their application, but at least one check requires action from you before it can progress. Read Understanding and resolving an Action required status to help you move an application with this status along. |
In dispute | The candidate has initiated a dispute related to the results of one or more checks in this application. |
Cancelled | The entire application has been cancelled, including all checks. |
Unresponsive | The candidate did not submit their application in time, and the application expired. |
Check statuses
Check statuses provide insight into the progress of a specific background check in an order you place.
Check status | Description |
Waiting on candidate | An application that contains this check has been sent to the candidate, and they have not completed and submitted it yet. |
In progress | The check is being processed. |
Complete | The check is finished processing. |
Action required | The candidate has submitted the application that contains this check, but the check requires action from you before it can progress. |
Requires more info | We need more information to process the check, and we will contact your candidate to request what is missing or unclear. |
In dispute | The candidate has initiated a dispute related to this check’s results. |
Unresponsive | The check was not processed because we did not receive the required information in time. Typically, this indicates that a contact for a reference or verification check was unresponsive. |
