Overview
The ICIMS + Certn integration allows hiring teams to initiate, track, and complete background checks directly within the ICIMS ATS platform.
Instead of switching between systems or manually triggering checks, recruiters can move a candidate to a configured stage in ICIMS and Certn automatically initiates the background check. Status updates and report access sync back into ICIMS, giving your team real-time visibility without disrupting workflow.
With this integration, you can:
- Automatically trigger background checks based on stage
- View live status updates inside ICIMS
- Access reports via PDF or secure Certn portal
- Assign checks to a default group within Certn for centralized management
- Support compliant, post-offer, candidate-initiated screening workflows
The result is faster hiring, stronger compliance alignment, and fewer manual steps for your team.
Setup
Step 1: Create one or more packages of checks to use in ICIMS
- Login to Certn.
- Navigate to “Packages” and select “New Package”.
- Give the package a name and description (make note of the name for Step 3).
- Enable the “Mark this package for ATS use” switch.
- Specify any tags you wish to apply to the package for auditing purposes.
- Select the one or more checks you wish to be added to the package.
- Review details of package.
- Select “Save package”.
- Now that the package is made, open it up and make note of the package ID in the package URL, where the URL looks like: https://client.certn.co/<ca | uk | au>/package/<package id here>/
- Repeat steps in this section for any additional packages you wish to use in your ICIMS ATS.
Step 2: Initiate Integration Setup with ICIMS
- Submit a request to your ICIMS account manager to set up an integration with Certn.
- ICIMS will assign a Customer Integration Consultant to work on setting up this integration. ⚠️ Please note - ICIMS states this process can take 6-12 weeks or more and is not dependent on any action by Certn.
- Request the following from your ICIMS Customer Integration Consultant:
- ICIMS Customer ID
- ICIMS Username
- ICIMS Password
- If prompted, share the exact full name & ID of the package(s) you wish to order from Certn within ICIMS.
- If prompted, share the Certn endpoint url:
- For North America → https://api.ca.certn.co/api/external/ats/icims/webhook/
- For Europe/Middle-East/Africa/ → https://api.uk.certn.co/api/external/ats/icims/webhook/
- For APAC → https://api.au.certn.co/api/external/ats/icims/webhook/
Step 3: Create ICIMS integration connection in Certn
- Log in to Certn.
- Navigate to “Settings” -> “Integrations”.
- Select “Add” next to the ICIMS integration to open the integration details page for ICIMS.
- Specify the ICIMS customer ID, ICIMS username, and ICIMS password from Step 2 in their respective fields inside the integration details page.
- Copy the generated Webhook username & Webhook password, storing it securely.
- ⚠️ Important: You will not be able to access the Webhook username or password after leaving the page. Make sure these values are saved somewhere secure before proceeding.
- Configure your default Report URL Type preference by choosing whether ICIMS receives:
- A PDF report that does not require a user to login, or
- A secure Certn portal link that requires user authentication to view the report
- Configure your default Group using the “Select a group” dropdown. All ordered background checks from this package will be assigned to this specified group within your Certn instance. This will be the default group where you will be able to view all background checks when you log into Certn.
- Select “Save changes” to activate this integration on the Certn platform.
Step 3: Finalize Details with ICIMS Customer Integration Consultant
To finalize activation of the integration, use a mechanism such as SendSafely to securely share final details with your ICIMS Customer Integration Consultant including:
- The generated Webhook username & Webhook password from Certn generated in Step 2.
- The exact full name & ID of the package(s) you wish to order from Certn within ICIMS.

Integration Complete
Your Certn + ICIMS integration is now active.
Recruiters can initiate background checks from within ICIMS, and status updates and reports will sync back automatically.
If you need to adjust report types or default groups in the future, you can do so directly within Certn by editing the ATS integration connection in the same way that you originally set it up with these instructions.
