SAP SuccessFactors + Certn integration setup

The SAP SuccessFactors + Certn integration allows hiring teams to initiate, track, and complete background checks directly within SAP SuccessFactors.

Instead of switching between systems , recruiters can move a candidate to a background stage in SAP SuccessFactors and a recruiter can initiate the background check. Status updates and report access sync back into SAP SuccessFactors, giving your team real-time visibility without disrupting workflow.

With this integration, you can:

• Trigger background checks from SAP SuccessFactors
• View live status updates inside SAP SuccessFactors
• Access reports via PDF or securely via the CertnCentric portal
• Assign checks to the recruiter who triggered the check
• Support compliant, post-offer, candidate-initiated screening workflows

Setup the SAP SuccessFactors integration in Certn

1. Log in to the CertnCentric portal.
2. Navigate to the integration page by clicking Settings → Integrations menu.

3. Start the SAP SuccessFactors setup by clicking on the “Add” button.

4. At Step 1 , enter your SAP SuccessFactors OAuth Details below
   1. OAuth client ID: This is the OAuth API key you generated in Step 5.11 of the Integration Guide.
   2. API User: This is the API user you generated in Step 1 of the Integration Guide.
   3. Token URL: This is your SAP SuccessFactors token URL. Please ask your SAP SuccessFactors administrator.
   4. OData Base URL: This is your SAP SuccessFactors OData base URL. Please ask your SAP SuccessFactors administrator.

5. Upload the Certificate: Upload the PEM certificate you downloaded in Step 5.7 of the Integration Guide. Once you upload the Certificate, the system will retrieve the below data which will be: 

6. Click connect. If the connection to your SAP SuccessFactors system is successful, the system advances to Step 2 and the below message is displayed.

7. If the connection to your SAP SuccessFactors system is not successful, the system will show the relevant error message. Please check your entries and correct the same.

5. At Step 2, select the default group you would like your orders to be associated with. If you select a group at the time of ordering in SAP SuccessFactors, this value will be overwritten. 

6. Click the “Show Sample” button and copy the request and response json below. You will need this when you setup the integrations to certn in SAP SuccessFactors (Step 7 of the Integration Guide).

7. Click the “Generate Credential” button to navigate to Step 3 of the Integration Guide. 
8. At Step 3, the system will generate the below details which you will need when you create your Certn integration in SAP SuccessFactors (Step 7 of the Integration Guide.). After you copy the generated values, click the “Next” button.
   1. Webhook URL: When a recruiter triggers a background check order in SAP SuccessFactors, this order is sent to this Certn webhook url.
   2. Webhook username: This is the Certn Webhook username which SAP SuccessFactors will use to place a background check order to Certn.
   3. Webhook password: This is the Certn Webhook password which SAP SuccessFactors will use to place a background check order to Certn.

9. At Step 4, you will be able to copy the package ids and group ids which you will need when you create your packages and groups in SAP SuccessFactors in Step 9 of the Integration Guide. Click the “ Finish Setup” button to complete your setup. Note: You do not need to copy the package and group ids at this step  as you will be able to access it even after the setup is complete via the edit button.

Integration Complete 

Your Certn + SAP SuccessFactors integration is now active.

Recruiters can initiate background checks from within SAP SuccessFactors, and status updates and reports will sync back automatically.

If a background check initiation fails, where do I see the errors in SAP SuccessFactors

Log in to SAP SuccessFactors using your credentials, Navigate to Admin Center → Integration Center → Monitor Integrations → select the  execution → Event Log 

How do I regenerate the Certn Basic authentication credentials?

Log in to the CertnCentric portal using your credentials. Navigate to Admin → Integration. Edit the SAP SuccessFactors integration. Click on “Regenerate Credentials”.
